How long do you keep a retired volunteers' file? Also, how long do you keep applications on file for those who don't actually become a volunteer? Thanks!

We mirror the facility policies; retirees and non-accepted volunteer applications are kept on file for six months and then destroyed.

That said, I do keep the files on very long term volunteers who have had to resign due to health issues.  I learned this one the hard way: I have had families contact me and ask for details about their loved one's service for the obituary.

I too follow our HR department of retirees and term volunteers.  This does create many files- ugg.

I keep applications for one year, also in line with our HR department.

We also follow our HR policies.  Although, we scan the files of those no longer volunteering and they are stored electronically.

Much like Denise, we also follow our HR policy.  So we are basically keeping the files forever with information in Volgistics and all documents scanned into an electronic record system.  Very soon we will do away with paper records period (my hope is by the end of the year).

Even in the old days records were sent to microfiche.  My how technology has changed. Wonder if there is a reader around that still works.  Haven't had to look anything up there in years.  This was also the HR policy back in the day.
