How much is too much information for a Volunteer?

    I have a department that is converting to a new electronic record and has asked if their existing volunteers may assist with data entry of patient records.  The question is that the information involved includes SSN and diagnosis information (among other material) to which volunteers are not typically exposed.  While all volunteers do sign and are trained in HIPAA and sign confidentiality statements, the department is prepared to assign a specific login and provide additional training to their volunteers for this purpose.  We've just never let volunteers work in patient information to this depth before. Does anyone else utilize volunteers to input patient data?  Any other advice for or against?

    I think you already have your answer by the hesitation and doubt that is stirring inside your heart and mind as a volunteer professional.  I had the same situation with our Wound Care Center in asking volunteers to copy pictures of wounds that had patient info attached, and I immediately had to intervene.  I personally would not go there.

    I feel the opposite...

    I have several volunteers who have computer access, and access to Star, Cerner, whatever the department has asked for.  Every volunteer has been trained in confidentiality and hipaa, and have signed a corporate responsiblity agreement, as well as receiving documented department training.

    I think that if the volunteer had read and signed off on HIPAA and has been trained in the soaftware and can be utilized by whichever department, I see no problem. What a joy to have such great willing and qualified people. It changes the hospital's idea that all the volunteers are little old ladies in the pink jackets. Go for it and congratulations on having such great volunteers.

    Absolutely.  I can think of many volunteers who have, over the years, volunteered in departments where they handled very confidential patient information.  All of our volunteers are well versed in HIPPA and patient confidentiality.  That's not to say that every volunteer would work in such a capacity.  Choose carefully.

    We also have volunteers that have individual passwords and do data entry in physicians' offices, transitional care and our HIM department. They sign a confidentiality/HIPAA agreement like any employee.

    Thank you all for the feedback thus far.  I agree that as long as the volunteer has the proper training and oversight, and is placed appropriately, that there is no reason an "unpaid staff" cannot process the information as well as a "paid staff." We do have clinical outreach volunteers that are not employed by us serving on our mobile care team, so there is precedent for volunteers to have the access to patient information--but as I said, it's just never been done with hosptial volunteers and we are working against the "pink ladies" image.

    We also have volunteers who work in our Medical Records Department. They go through the HIPPA Training and we stress the importance of keeping this information protected. They have been a huge help!
