ATTENTION UNIVERSITY HOSPITALS - Requirements and processing of volunteers

    If you are a teaching hospital with 500+ beds could you please help me out?  I am interested in finding out how many hours you require your volunteers to do, do you have specific enrollment periods for students and what other requirements do volunteers have to meet before they can begin? Here is my process so if you could lay out your model based on these items I would appreciate it.

    One on one interview?

    Orientation?

    Employee Health?

    Background check?

    Online CBL's or paper tests?

    On the day of the interview we also send the applicant to HR to have a picture taken for their ID badge and their background check is started.  They also go to Employee Health.  Depending on what immunizations they need there may be several visits to Employee Health.  They come in for orientation and after the orientation we schedule a time to do online CBL's which takes them approximately 2 hours.  Depending on the area they volunteer in they may have to come in and attend a group training. 

    We also require they have two professional references before they can begin volunteering.

    We are looking into stream lining our process so any information you can share would be greatly appreciated.

    We are a University Hospital with 900+ beds. The majority of our volunteers are University students. We have about 2400 volunteers annually. We conduct group interview/placement appointments. Prior to the placement interview all students must collect their own immunization records (university students can get copies from the Student Health Center as they are required upon enrollment) and be cleared through Occupational Health. Occ Health does a TB Screen. Volunteers complete an online orientation which addresses the standards required for our Privacy office.

    All placement interviews are scheduled through Volgistics/VicNet after the online application is complete. Students must bring all completed documents to the placement interview. This includes: copies of immunization records, clearance forms from Occ Health,  Certificate of completion for online orientation and signed Compliance and Security form.

    At the Placement Interview, students are given volunteer assignments, scheduled for any department trainings that are required, and given a copy of the Service Area Agreement. Volunteers are given nametags. Volunteer nametags are preprinted with the hospital logo and "VOLUNTEER" and we use a label maker to print the names. We order nametags from Kilbourne & Kilbourne. Due to the volume of student volunteers, only adult volunteers have photo nametags similar to staff. Volunteers purchase an official volunteer polo as a uniform. 

    As we activate the volunteer in Volgistics, we complete two free online background screens: the national sex offender registry, and the Florida career criminal offender registry. We do not require professional references. We require students volunteer for a minimum of one semester, weekly with 3 hour shifts. Some areas require a 2 semester commitment. We allow 2 absences per semester that must be reported. Students are only placed at the beginning of a semester.

    Our Adult volunteer process requires the same paperwork, but we place on a rolling basis and conduct one on one interviews. You can find more information about our process on our website www.ufhealth.org/volunteering, or feel free to give me a call.
