Perks and Costs of Volunteering

    Recently, some volunteers expressed the opinion that they should be provided with a free smock or vest when they begin to volunteer and “as needed” afterwards.  I would like to see how our benefits compare to other volunteer programs.

    The current costs volunteers encounter in our program are:

    Volunteer purchases vest ($11) or smock ($15) – Plus sizes $2 more

    All volunteers become members of Auxiliary and pay dues of $3 annually

    The current volunteer benefits in our program are:

    Meal for each shift volunteered (up to $7.50 value)

    Free tea and coffee time in morning and afternoon

    Free meal at quarterly Auxiliary membership meetings

    Two banquets annually with free catered meal for volunteer and a guest

    Free gift for volunteer and guest at both banquets (approx $7 per person each banquet)

    Custom made gold pin at 4,000 hours – Value in 2014 $330

    Use of exercise equipment in Cardiac Rehab Gym at no cost (Value $7.50 per visit)

    20% discount in Gift Shop

    Free flu shot annually

    The current costs volunteers encounter in our program are:

    Volunteer may choose to get tb tests completed on their own at their cost.

    If a volunteer shows no immunity to measles, mumps, rubella or varicella they must incur the cost for a booster.

    The current volunteer benefits in our program are:

    Three banquets annually with free catered meal for volunteer

    10% discount in cafeteria

    Free gift for volunteer at 2 of the banquets(approx $2 per person each banquet)

    Custom made gold pin at 2000 hours, with a diamond added to the pin for each increment of 1000 – Value in 2014 $330

    20% discount in Gift Shop

    Free flu shot annually

    Free tb test annually

    free parking

    Our benefits are about the same… my thoughts on the free smock/vest. We charge them $15 for the first one  and it is done on an individual basis if they need to replace it. We see it as a small ownership they seen to take care of it better since they bought it.

    It costs our volunteers only their time to enter our program.

     

    The current volunteers costs to our program are:

    Volunteer is provided uniform ($25).  Formerly paid by Auxiliary, but now VS dept expense.

    Lost/damaged uniforms must be paid for by volunteer, but worn out ones are replaced at no charge.

    Volunteer may choose to get tb tests completed on their own at their cost.

    State Police background check (VS dept. expense) at $16 per volunteer.

    The current volunteer benefits in our program are:

    Annual banquet (April NVW) with catered meal for volunteers.

    Annual holiday party with catered meal. (December)

    10% discount in cafeteria and complimentary fountain beverages with ID.

    Gifts for volunteer at Christmas and Appreciation week. (approx $25 per volunteer annually)

    Name badge and Stock issue Volunteer pins for 100 hours, 500 hours, 2500 hours and 5000 hours, then at 500 hour increments.  Older volunteers receive year pins at 15, 20, 25 years.

    Free flu shot annually

    Free initial tb test at Employee Wellness

    $5 meal coupon to each volunteer on their birthday or if they serve as a substitute for another volunteer’s absence.

    Participation in special events, trainings and invitations to lectures, programs and other health system activities.

    Ours are pretty much the same.  We do supply the uniforms however for new volunteers.   If they want another they have to pay for it.  We also pay for background checks, and TB tests.

    RESOURCES & DISCOUNTS FOR VOLUNTEERS In appreciation for the dedication and loyalty our Volunteers contribute to Conway Medical Center – the administration has arranged for the Volunteer to receive a complimentary meal in the cafeteria on the day the Volunteer works their scheduled shift. The Volunteer is to enjoy the meal either prior to or immediately following their shift.   Complimentary Coffee/tea is available all day from the bar.

    The Volunteer, as a member of the Conway Medical Center team, may use the Pharmacy in the Medical Center. There is, in most cases, a savings to the Volunteer.  The Volunteer, as a member of the Conway Medical Center team, may use the Wellness and Fitness Center at a reduced rate.  Community discounts are offered and a list may be found in the volunteer transport office.

    GIFT SHOP DISCOUNT Volunteers are given a 25% off discount in the hospital gift shop for an item during their birthday month.  Notification is made through a Happy Birthday Letter from the DVS.

    CHRISTMAS DINNER Conway Medical Center hosts a Christmas Luncheon the second week of December.  All Volunteers are invited to participate in the Holiday meal provided at no cost.

    HOSPITAL WEEK Volunteers are an integral part of the hospital team and are invited to join in the festivities during hospital week which includes a luncheon served by the administrators.

    NATIONAL VOLUNTEER WEEK During National Volunteer Week the volunteers are treated to a sit down dinner outside the facility at one of the local convention facilities with a featured guest speaker.  The day is focused on the gifts of time provided by the volunteers.  Administrators address the volunteers in recognition of their hours of service to Conway Medical Center.  Hours pins are given to volunteers identifying their contribution of hours.  A gift of appreciation is provided for each volunteer.  A formal publication of their hours contributed is designed and distributed.  Door prizes are given.

    BEREAVEMENT MEAL FOR VOLUNTEER AND AUXILIARY MEMBERS The purpose of this meal is to be supportive of those members of the Volunteer Services and Auxiliary, and their family members, during a time of their loss.  Upon notification of the death of a volunteer member or the death an immediate family member, of a volunteer/auxilian, (Immediate family member is someone living within the same home with the volunteer/auxilian.) A meal for six persons will be provided by Conway Medical Center. The DVS arranges with food services the meal to be prepared.  The DVS will deliver such meal to the family.   

    PALMETTO AWARDS Celebrating volunteers who have so graciously given of their time and talents in service to Conway Medical Center. They have served this organization for more than 10 years, some more than 20 years.  Volunteer recipients have their names engraved on Palmetto Leaves which are affixed to the commissioned Palmetto Tree and displayed in the main lobby of Conway Medical Center.  This is an elite group of volunteers.  This is an impressive tribute to the strength of this volunteer program and the loyalty that our volunteers have for Conway Medical Center.  A celebration with all volunteers and staff members is held each February 14th in their honor.  Refreshments are served.

    MEMORIAL PLAQUE FOR VOLUNTEERS/AUXILIAN  To qualify for the placement of a member’s name on the Memorial plaque, the member must be an active member in the volunteer organization or auxiliary for a period of time not less than three years and have died while on active status, or have been required to go on medical leave and be unable to return to active status. Charter members will be exempt from the above requirements.

    ANNUAL TRAINING Annual training is conducted offsite with guest speakers to refresh and revitalize the volunteers.  Guest speakers address confidentiality, HIPAA regulations, infection control, safety, customer service and new programs at the facility.  A token gift is provided with lunch.

    TAX DEDUCTIONS Volunteers claiming tax deductions for South Carolina income tax and federal income tax may claim a per mile deduction for distance traveled between a volunteer’s residence and the location at which the volunteer serves, and for distance traveled while engaged in volunteer service.  To validate this deduction, the IRS requires that you maintain a record stating mileage, date and reason for travel.  To assist volunteers in claiming this benefit, the director will be glad to provide a record of the dates on which a volunteer reported volunteer hours for duty during the calendar year.  Other deductions may be permissible.  Check with your tax professional for current information or visit IRS.gov website. 

    ACCIDENT COVERAGE Conway Medical Center provides insurance to cover medical expenses for accidents that occur in a Conway Medical Center facility while serving as a volunteer.  The insurance covers medical expenses resulting from an accident which are not paid by Medicare, Medicaid, private insurance or other third-party payer with a designated cap.  The Conway Medical Center volunteer medical policy will serve as the secondary reimbursement.  It is a program provided by Conway Medical Center to ease the financial impact of an accident sustained while performing volunteer services.

    UNIFORMS Volunteers purchase their own uniforms at the cost of $20 - $23 depending on the style they select.  They may donate them back for those less fortunate should they leave volunteer services.

    AUXILIARY - membership is OPTIONAL - as they do the fund raising.  No fee for being a member.

    our volunteers are not charged for their smocks. Basic other perks are about the same.
