Employees as Volunteers

    We have a current employee who would like to become a hospital volunteer. She will be working in a different department and we will have her read through HIPPA just for our records. I was looking for advice on whether or not to have them do another background check? To my knowledge we only run these once, before they are hired. Thoughts? Thanks!

    I have a couple of volunteers who are also employed.  They cannot work and volunteer in the same area.  I have one coming on board currently and I did run a background check as her hire date was years ago and she will be volunteering in our extended care facility where they now require for employees a FBI check and finger printing.  I felt it better to be safe than sorry.  I do have them complete the volunteer orientation packet to have on record.  They are not required to attend annual training as they have to do the annual training required by their employment.  There PPD is also a requirement of employment so they don't do it again.  They are invited to attend annual training if they would like, but, it is not mandated since it is a stipulation of employment.  In many cases they are volunteers before becoming employed so HR requests from me their references and background check so they don't have to rerun or seek other references.

    Our HR department requires that we complete the exact same process we do for all volunteers.  So we do a background check, references & PPD on all employees desiring to volunteer.  After initial orientation process, yearly I accept their hospital education in place of doing the volunteer annual education.

    I do not repeat any of the requirements.  I just indicate in my records that they are employees and all paperwork is on file in the HR department.

    I take Jamine's route--whether they are employees or volunteers elsewhere in our system--just a note in the file about where the actual record exists (or we may request duplicate copies.)

    We do however, ask employees to sign an additional MOU that explicitly states they are volunteering and not expecting payment for their time and do not assign them to a role similar to their jobs.
